Sorting Lists
If you have a list of paragraphs that you wish to sort into alphabetical order:
- Ensure each paragraph has a "hard return" before the next paragraph
- Use the ¶ button to reveal (click again to hide)
- Select all text to be sorted
- Word 2003
- Click Table > Sort; leave the default sort options; click OK
- Word 2007
- Home Tab > A to Z button in the Paragraph Group; leave the default sort options; click OK
- The paragraphs will be sorted, but
- If you had two "hard returns" between each paragraph (likely), then there will be a series of blank lines at the top. Just delete these.
- To reinsert a 'blank line' between each paragraph (i.e. two "hard returns"), it is necessary to replace each single "hard return" with two
- Select all text to be changed
- Click
- Word 2003: Edit > Replace
- Word 2007: Home Tab > Replace button in Editing Group (far right)
- In the "Find what" box enter ^p and in the "Replace with" box enter ^p^p
- Click OK
